Center for Dubuque History: Donating Materials

Donation Policy

The Center for Dubuque History and Loras Archives (CDH/LCA) welcomes donations that support its mission to collect, describe, preserve, and make available enduring records of the College and Dubuque community, as well as primary source materials with enduring historical value for the study, teaching and research needs of Loras students, faculty and staff.  
Once a gift has been accepted from the donor, the gift becomes the property of the Library, and the Director will determine the most effective way to use the donation. Gifts of materials are accepted with the understanding that, once received, they are owned by the CDH/LCA. CDH/LCA reserves the right to determine their retention, location, cataloging treatment and other considerations related to their use or disposition.

We generally do not accept conditional donations. Materials with restrictions on access or use will generally not be accepted. In some cases, materials of great research value with clearly stated restrictions of limited duration will be considered. Photocopies or scans of manuscript or other original materials are generally not accepted. Individual leaves offered from multi-leaved manuscripts will be reviewed carefully and decisions made on a case-by-case basis.

Tax laws prohibit Library personnel from providing an estimate of the value of the donated materials. If a gift is monetarily valuable and the donor wishes to deduct the gift for tax purposes, the donor must have the gift appraised by a certified appraiser, complete IRS Form 8283, and send a copy of the form to the Library Director. 

The CDH/LCA reserves the right to duplicate, digitize, and make copies for the purposes of preservation, regardless of the copyright status of the item(s). We are unable to collect items where resources do not allow us to meet the collection’s space requirements or preservation needs.
